Introduction & Scope: BNSHardware.lk (“we”, “us”, “our”) is committed to processing your payments securely, efficiently and transparently. This Payment Policy applies to all purchases made through our website. It describes the payment methods we accept, how payments are processed and confirmed, customer obligations, and how we handle your personal and financial information. Our practices comply with all applicable Sri Lankan laws and regulations – in particular, the Personal Data Protection Act No. 9 of 2022 (PDPA) and the Consumer Affairs Authority’s e‑commerce regulations (Extraordinary Gazette No. 2332/15 of 17 May 2023). By making a payment on BNSHardware.lk, you agree to abide by this policy and our Terms & Conditions. Please read all policies carefully before completing a transaction.
Payment Methods
We accept the following payment options:
- Cheques: Drawn in favor of “BNS Hardware (Pvt) Ltd” and crossed “Account Payee Only.” Mail or hand-deliver cheques to our office (56/35 Borella Road, Depanama, Pannipitiya, Sri Lanka). All cheques must include your order number, name, and contact on the back. Goods will be shipped only after the cheque has cleared.
- Cash (in-person): Cash payments are accepted at our head office during business hours (Monday–Friday 9:00–17:00; Saturday 9:00–12:00; closed on public holidays). Please present your order number and obtain an official receipt immediately.
- Credit/Debit Cards: We accept major card networks (Visa, MasterCard, etc.) via a secure online payment gateway (“PayHere” local (SL) payment gateway compliant processor). When paying by card, you must provide accurate cardholder information. Unauthorized or fraudulent use of a credit/debit card is illegal. As per Sri Lanka’s Payment Devices Frauds Act (No. 30 of 2006), possession or use of an unauthorized or counterfeit payment device is an offense. We reserve the right to verify card ownership (for example, by matching name and address) and to report any suspected fraud to the authorities.
- Bank Deposits/Transfers: You may deposit funds into the following corporate accounts (please use your Order ID as the payment reference):

After making a deposit or transfer, email a scanned copy or photo of the deposit slip (showing your Order ID) to info@bnshardware.lk. We will confirm payment once funds are credited. All deposits are subject to bank realization; goods ship only after confirmation of receipt.
- Digital/Mobile Payments: We offer several electronic wallet and QR code options for convenience. These include FriMi, eZ Cash, Genie (Dialog’s wallet), iPay (LOLC payment app), and LankaQR QR-code payments. To pay via LankaQR, you may use any certified bank or wallet app that supports LankaQR by scanning our merchant code at checkout. These channels provide fast, secure payment using your mobile device or app.
We strive to provide easy-to-use payment mechanisms for all customers. During checkout, you may select your preferred method from the options above. All prices are charged in Sri Lankan Rupees (LKR) by default; for international orders, currency conversion is done at prevailing exchange rates.
Payment Processing & Confirmation
- Order Confirmation: Once you select a payment method and submit your order, we will request for an order confirmation via our order summery window, summarizing your purchase. This confirmation provides a final review of the items, quantities, and prices before you complete payment. (You may cancel or revise your order during this review in accordance with the CAA regulations on transparent pricing.)
- Payment Verification: Electronic payments (cards, e-wallets, UPI/QR) are typically processed immediately. Offline payments (cheques, bank transfers) may require 1–3 business days for clearance. We will verify that payment has successfully cleared before dispatching goods. If payment fails or remains unconfirmed, we will notify you to retry or choose a different payment method.
- Invoices/Receipts: After payment is confirmed, we will issue an official invoice/receipt via email. This document will itemize your purchase and include: the total price, method of payment, delivery terms, taxes (if any), and references to our Terms & Conditions and Privacy Policy. Issuing a receipt with the payment method and applicable terms is required by law. Please retain this receipt for your records.
- Timing: All orders will be processed only after full payment is received and cleared. We cannot ship or release goods on credit. If a cheque or deposit is reversed or declined by the bank, the order will be canceled.
Customer Responsibilities
Customers must ensure the following to facilitate smooth payment processing:
- Accurate Information: Provide correct and complete personal and payment details. Errors in names, addresses, or payment references may delay processing. Enter your billing and delivery addresses exactly as on file with your card issuer or bank.
- Secure Handling: Keep all payment credentials (cards, online account logins, OTPs) confidential. Do not share your password, PIN, CVV, or one-time codes with anyone. We will never ask you to disclose full card details or PIN over email or phone. Any request to do so should be treated as suspicious.
- Deposit Instructions: For cheque payments, ensure the cheque is properly dated, signed, crossed “Account Payee Only,” and has your Order ID on the reverse side. For bank deposits, send us a copy of the deposit slip (or a screenshot of the online transfer) showing the transaction details. This helps us match payments to orders.
- Transaction Monitoring: Regularly check your bank or card statements. If you notice any unauthorized or duplicate charge related to BNSHardware.lk, inform us immediately. Prompt notification helps us investigate and, if necessary, coordinate with law enforcement. Under Sri Lankan law, fraudulent use of another’s payment device is a crime. We will report any confirmed fraud to the police.
- Cancellation/Cooling-Off: Where applicable under law, you have the right to withdraw from a confirmed purchase within the prescribed cooling-off period. To exercise this right, contact us immediately (and in any event before we begin shipping). Any refund due (for an order paid online) will be issued back to the same payment instrument you used, less any bank fees or charges we cannot recover. Cancellation requests for cash or cheque payments must follow our Returns/Cancellation Policy.
Failure to comply with these responsibilities may result in delays or cancellation of your order. We reserve the right to refuse or cancel any transaction in cases of suspected fraud, unauthorized charge, or violation of these Payment Policy terms.
Data Privacy & Security
Protecting your personal and financial data is a priority. We process your data strictly for the purpose of completing the payment and fulfilling your order, in accordance with the PDPA. Purpose Limitation: We only collect data necessary for specified, explicit, and legitimate purposes (e.g., processing payments, shipping goods, and communicating with you). Your data will not be used for unrelated purposes.
- Data Minimization: We ask for the minimum personal information needed to process the payment and deliver goods (such as name, address, and payment details). Sensitive data (like card CVV or bank PIN) is handled only by the secure payment processor and is not stored on our servers.
- Lawfulness and Consent: By submitting your payment, you consent to our processing of your personal data as described. All data collection is lawful, fair, and transparent. We maintain a clear Privacy Policy that explains what data we collect and how we use it. Our data practices are designed to be transparent and to give you appropriate notice and choice.
- Security Measures: We implement robust technical and organizational safeguards to protect your data. These include encrypted connections (SSL/TLS) during online transactions, secure firewalls and servers, regular security audits, and strict access controls. Payment information is transmitted directly to trusted payment gateways; we never store full payment card numbers on our site or servers. Third-party processors we use (e.g. card gateways, bank interfaces) are bound by contract to implement appropriate security measures and comply with the PDPA.
- Privacy Compliance: As mandated by Sri Lankan law, we do not engage in any deceptive practices in handling your data. We will not sell or rent your personal information. Any use of your data (for example, for shipping or communication) will be done securely and only as needed. You have rights under the PDPA, including to access, correct or request deletion of your personal data; please see our Privacy Policy for details.
- Fraud Monitoring: We have systems in place to detect and prevent unauthorized or fraudulent transactions. Payment activity may be monitored for unusual patterns (e.g. multiple rapid transactions on the same account) that could indicate fraud. If a payment appears suspicious or if identity theft is detected, we will halt the transaction and may require additional verification before proceeding. In accordance with law, we will report confirmed fraud to the relevant authorities.
Legal and Regulatory Compliance
Our Payment Policy is aligned with Sri Lankan legal requirements and consumer protection regulations:
- Personal Data Protection Act (PDPA) 2022: We strictly comply with all PDPA obligations concerning personal data collection and processing. This includes purpose limitation, data minimization, security, and respect for data subject rights.
- Consumer Affairs Authority (CAA) E-commerce Gazette 2332/15 (2023): We adhere to the CAA’s guidelines for online sellers. Our checkout process is transparent (you can review your order and payment before confirming). We clearly display all charges and provide detailed invoices that include payment method, terms, and a reference to our policies. We honor the consumer’s right to cancel or withdraw from an order where required.
- Payment Devices Frauds Act (No.30 of 2006): This law criminalizes the unauthorized use of payment cards and devices. We enforce strict anti-fraud measures and will cooperate with law enforcement to prosecute violators.
- Other Regulations: Our practices also comply with the Payment and Settlement Systems Act and any relevant Central Bank guidelines for electronic payments. We do not facilitate cash-on-delivery or other disallowed practices for e-commerce as per regulatory norms.
- Disclosure Requirements: As required under consumer law, our order acknowledgments and receipts include all legally mandated information – e.g. delivery terms, return policy, warranty notices, and privacy practices. Any fees (such as currency conversion charges or banking fees) are clearly disclosed.
We continuously monitor legal developments. If regulations change (such as updated CAA gazettes or data protection directives), we will revise this policy promptly to remain compliant.
Disclaimers
- Clearing Times: All payments (especially cheques and bank transfers) are subject to banking and processing time. BNSHardware.lk is not responsible for delivery delays caused by late fund clearance. We ship items only after payment is fully confirmed.
- Accuracy of Payment Instructions: Please double-check account numbers and instructions before making a bank transfer. BNSHardware.lk is not liable for wrong transfers due to incorrect references provided by the customer.
- Currency Fluctuations: For international payments, any fluctuations in exchange rates between order and settlement are outside our control. The final amount charged may vary slightly from the price at order placement, as determined by the payment provider or card issuer.
- Errors and Omissions: We strive for accuracy in displaying prices and terms, but errors may occur. If a pricing or typographical error is found, we reserve the right to cancel or revise the order. In such cases, any pre-authorized or charged amount will be refunded promptly.
- Liability Limit: To the fullest extent permitted by law, BNSHardware.lk will not be responsible for indirect or consequential losses arising from payment issues (e.g. bank fees you incur, loss of opportunity, or claims by third parties). Our liability for direct losses is limited to the amount you have paid.
- Fraudulent Claims: Any attempt to commit fraud or to manipulate the payment system (e.g. chargebacks without cause) will be considered a breach of our terms. We will seek reimbursement of costs and may pursue legal action for damages and legal fees.
By completing the payment, you confirm that you have read and understood this Payment Policy, and agree that it constitutes a binding agreement between you and BNS Hardware (Pvt) Ltd.
